Technical Integration

High-Quality Video Conferencing Tools: Utilizing Zoom with other software, to bring in virtual presenters with crystal-clear audio and video, ensuring they could interact with the in-person audience as if they were physically present.
Hybrid AV Setup: We introduced a switcher capable of seamlessly transitioning between virtual, in-person, and combined shots, essential for the hybrid event's dynamic visuals. To capture the in-person audience and speakers, we incorporated cinema cameras, enhancing our ability to convey the event's energy and engagement. Alongside these, our set up accommodated all 6 virtual presenters on Zoom, capturing an ISO feed of all 6 virtual presenters with high quality video feeds. Accompanying this, our audio gear delivered clear, synchronized sound, ensuring a seamless listening experience for both remote and in-person attendees.

To ensure both virtual and in-person participants enjoyed a fully immersive experience, we focused on engagement strategies that transcended physical boundaries:
Dynamic Visual Switching: Focusing on alternating between compelling shots and graphics to keep both audience segments engaged, ensuring that every shot is visually captivating and appealing to the eye, no matter where the participant is located.
Real-Time Q&A: Encouraging live and virtual audiences to interact through real-time shared Q&A sessions, enabling the audience from the livestream and in-person to engage with the presenters seamlessly whether the presenter is in-person or virtual.
Overcoming Challenges

Additionally, we prioritized audio synchronization, implementing mix-minus audio configurations to eliminate feedback from Zoom into the live setting and vice versa. This setup was crucial to prevent echo and ensure crystal-clear communication. We also undertook precise acoustic treatments to 'ring out' the room, effectively removing any echo that could disrupt the Zoom call or the live environment, thereby maintaining a pristine auditory experience for both remote and in-person attendees.
