Event Overview
In a collaboration effort, our team partnered with @showstream_live to orchestrate a hybrid meeting for Powerhouse Arts, held in the vibrant district of Gowanus. The meeting was designed to blend the physical and digital realms, bringing together in-person attendees and virtual participants through Zoom. Our mission was clear: to ensure impeccable audio and video quality, synchronization across all formats, and an echo-free environment, thereby delivering a seamless experience for every attendee.
Pre-Event Preparation
The setup for this event required meticulous planning and coordination. Our first step was to scout the Powerhouse Arts studio, identifying the optimal placement for the projector and ensuring all cable runs and camera runs are measured to bring the proper length of SDI's for the day of the meeting. The choice of projector was critical, aiming for a model that offered high brightness and clarity to provide good visibility of the contents on screen in a bright room.
Hybrid Setup Execution
The hybrid setup was the cornerstone of this meeting, involving a sophisticated mix of physical and digital components:
Zoom Integration: We integrated Zoom for virtual attendees, ensuring they could participate actively in the meeting. This required a reliable, high-speed internet connection and a dedicated computer to manage the Zoom feed.
Projector and Screen: A high-quality projector displayed Zoom participants and Powerpoint on a large screen, making virtual attendees and the presentation a visible part of the physical space and ensuring that presenters and presentations were clear and visible for everyone.
Audio-Visual Synchronization: Achieving clear and synchronized audio and video was paramount. We employed advanced AV equipment to manage feeds from both in-person and virtual sources, ensuring that sound and visuals were perfectly synced with each other.
Echo-Free Audio: To eliminate echo and feedback, especially crucial in a hybrid setting, involved strategic placement of microphones and speakers, as well as employing sound-absorbing materials and techniques to 'ring out' the room, ensuring that audio from Zoom did not create feedback or echo in the physical studio or for virtual participants.
Challenges and Solutions
One of the main challenges was ensuring that the audio and video from virtual participants were as clear and synchronized as in-person contributions. We overcame this by conducting extensive tests prior to the event, adjusting latency settings, and implementing a mix-minus audio setup to prevent echo and feedback.
Another challenge was integrating the physical and virtual elements in a way that felt natural and engaging. By using a projector to bring virtual participants into the room on a large screen, we created a unified space where everyone, regardless of how they were attending, felt included and able to contribute equally.

By focusing on high-quality audio-visuals, synchronization, and creating an echo-free environment, we were able to deliver an exemplary meeting experience.
